Kiosk mode (self-service scanning)

Kiosk mode turns a door device into a self-service station: guests hold their QR code to the camera (or scan it with an external scanner), see the result on screen, and enter without staff pressing anything. You (the organiser) set it up once and then leave the device running for the whole event.

Situation Use Kiosk?
Main entrance, high foot traffic, mostly clear QR codes Yes — relieves staff
VIP door, requires identity check No — use staff scanning
Many complex ticket types, guests need guidance No — use staff scanning
Device mounted on a stand, fixed position Yes
Staff hand-held, moving between doors No

You configure Kiosk when you register a scanner device on the event management page. Choose the device type Kiosk, and the Kiosk options will appear.

  1. On the event page, open the scanner device section and choose to register a new device.

  2. In the Device type field, choose Kiosk.

  3. In the Kiosk options that appear, set the following:

    • Success result duration — how many seconds the screen keeps the “checked in” result before returning to the ready state. Default 3 seconds.
    • Problem result duration — how many seconds the screen keeps a warning/error result (for example, ticket already used, wrong event). Default 5 seconds — longer than the success result so the guest has time to read the reason.
    • Idle timeout — after how many seconds of no activity, the Kiosk returns to the idle screen so it is ready for the next guest. Default 10 seconds.
    • Sound feedback — turn the result beep on or off. Recommended on so guests hear the result even if they are not looking at the screen.
    • Input source — choose camera (the guest holds the QR code to the device camera) or keyboard (an external barcode scanner plugged into the device, or the guest types the ticket number). Default is camera.
  4. Save. The device shows up in the scanner list with a Kiosk label.

  5. On that device, a staff member signs in to Scanner following the steps on the sign-in page, then picks the event and door. Once chosen, the Kiosk starts and shows the ready screen.

When nobody is scanning, the Kiosk shows the idle screen with these elements:

  • Event name — shown large in the centre, identifying the door for guests.
  • Door name — a sub-line under the event name (for example: Gate A, VIP Area).
  • “Present your QR” prompt — a pulsing QR icon with the text “Please present your QR code”.
  • Checked-in count — after the first check-in, the Kiosk counts the total guests through the door and shows it in green text.
  • Language toggle — in the bottom-right corner, lets a guest switch between Vietnamese and English. The browser remembers the choice next time.
  • Offline indicator — when the device loses network, a yellow “Offline” badge appears in the top-left. The Kiosk still allows scanning and will sync automatically once back online (see offline mode).

When a guest holds a QR code to the camera or scans with an external scanner, the Kiosk processes it and shows the result in this sequence:

  1. The screen switches to the scanning state, showing an overlay that guides the guest to keep the QR code inside the frame.

  2. The Kiosk checks the ticket with the system. While waiting, an overlay reports that it is processing.

  3. When the result is ready, the Kiosk shows a full result screen and plays the matching sound (if sound is on):

    • Success — the screen confirms check-in and shows the guest’s name. The sound is two short, high-pitched beeps rising in tone.
    • Warning (for example ticket already used, or ticket accepted but queued because the device is offline) — the sound is two short mid-pitched beeps. The guest should still wait for staff to confirm.
    • Error (invalid ticket, wrong event, wrong door, sold out) — the sound is one long, low-pitched buzz. The guest should step aside to staff for help.
  4. The result screen auto-dismisses after the configured duration (3 seconds for success, 5 seconds for warning/error), then the Kiosk returns to a ready state for the next guest.

  5. If there is no further activity within the idle timeout (default 10 seconds), the Kiosk automatically returns to the original idle screen to reset the layout.

A few situations the Kiosk handles in its own way, which you should know when staffing the door:

Situation How the Kiosk handles it
Ticket already used (already checked in) Shows a warning, with details of the previous check-in (time, door). Guest needs staff to check.
Ticket belongs to a different event Shows an error. The guest may be at the wrong door.
Ticket invalid / does not exist Shows an error.
Device is offline Still allows scanning; the entry is queued locally. Plays the warning sound (not the success sound) so the guest knows to wait for confirmation.
Event has not started or the day has ended The whole Kiosk is blocked, shows a message and the language toggle. No scanning until the event is in its active time window.

Because Kiosk takes over the full screen and has no visible exit or sign-out button (so guests cannot press it by mistake), to leave you use a hidden exit:

  1. On the idle screen, tap the event name (the large text in the centre of the screen).

  2. Tap the event name 5 times in a row within 3 seconds.

  3. After the fifth tap, the Kiosk automatically signs out the current staff member and takes the device back to the sign-in screen.

After exiting, the device is on the sign-in screen. To start the Kiosk again for the next shift, a staff member signs back in and picks the event/door — the Kiosk starts on its own. See the sign-in page for the detailed steps.
