Custom event fields

Custom event fields store information that describes the event itself — for example the theme, dress code, parking notes, or special instructions for guests. These fields apply to the whole event, unlike guest custom fields which collect an answer from each guest (see the comparison below).

You create a set of fields once and can reuse them across many events, then fill in a value for each event during setup.

Some typical situations:

  • Event theme — for example “Acoustic night”, “Digital transformation summit”.
  • Dress code — for example “Black tie”, “Casual”.
  • Parking notes — for example “Level B2, gate 3”.
  • Special instructions — for example “Bring your staff badge”, “Vegetarian zone available”.

If the information you need to capture changes per guest (meal, t-shirt size, sessions attended), use guest custom fields instead of event fields.

Aspect Event fields Guest fields
Apply to The whole event Each guest individually
Number of values One value for the whole event One answer per guest
Example Theme: “Acoustic night” Guest A’s meal: “Vegetarian”
Managed in Event setup page Guest list

To configure per-guest questions, see Manage guests.

When you create a new field, choose one of four types:

Type Used for Example
Short text A single line of free-form text Theme, short notes
Number A numeric value Expected parking spots
Single choice One option from a list Dress code: Black tie / Casual / Free
Multi choice Several options at once Amenities: Wifi, Parking, Catering

Before filling in a value for a specific event, you create a field template. The template is saved and can be reused for every future event without recreating it.

  1. Open the Custom fields page (in the general settings of your organizer account).
  2. Switch to the Event fields tab.
  3. Click Create new field.
  4. Choose that this field applies to an Event.
  5. Set an internal name for the field (only you see this) and a display label (for example “Event theme” — this is what people see when filling it in).
  6. Choose the field type.
  7. Turn on Required if the field must always have a value when an event is set up.
  8. (Optional) Add the options for “Single choice” or “Multi choice” types.
  9. (Optional) Add a short help line so the person filling it in understands what is expected.
  10. Save.

In the event fields list, for each field you created yourself, you can:

  • Edit — change the name, label, type, options, or required state.
  • Copy — create a new field from an existing one, useful when you need several similar fields.
  • Delete — remove the field from the list. A confirmation dialog appears so you can review before deleting.

Once your field templates exist, when you create or edit an event the check-in configuration step has an Event fields section.

  1. Open the event you want to edit.
  2. Go to the check-in configuration step.
  3. In the Event fields section, pick the fields you want to apply from the list.
  4. For each selected field, enter the value for this event.
  5. Save. The values appear on the event detail page.

Once your event fields are filled in, you can continue setting up the guest list and per-guest custom questions.
