Configure registration forms
The Registration page in the CMS lets you turn public registration on or off, set the open/close window, add custom questions, customise the form for each ticket tier, and enable an organization registration form for signing up whole teams at once. Everything is done in the CMS at app.qrs.com.vn, inside the event detail page, under the Registration tab.
Turn public registration on or off
Section titled “Turn public registration on or off”At the top of the Registration page there is a large switch alongside an Open or Closed status label.
- On — guests can register themselves through the event’s public link.
- Off — the registration link stops accepting new sign-ups. Existing registrations are kept.
The displayed status combines several factors: the on/off switch, the open/close window, the event time, and the event’s active state. When any of those indicate the event is closed, the label shows Closed.
Set the registration open and close window
Section titled “Set the registration open and close window”You can limit sign-ups to a specific window, for example opening registration a month before the event and closing it one hour before doors open.
- Turn public registration on (see the section above).
- In the Registration window section, pick a date and time for Opens at.
- Pick a date and time for Closes at.
- (Optional) Tick Allow oversells if you want to accept registrations beyond the capacity set for the event. When unticked, the system enforces capacity strictly.
- Click Save.
Add custom questions
Section titled “Add custom questions”The Custom questions section sits inside the event setup flow. This is where you add the questions beyond the default details (name, email, phone) that guests answer when registering.
There are four question types:
| Question type | Good for | Validation |
|---|---|---|
| Short text | Company, promo code, nickname | Required or optional |
| Number | Age, number of companions | Accepts digits only |
| Single choice | Ticket add-on, t-shirt size | Needs a list of options |
| Multi choice | Sessions of interest, meal picks | Needs a list of options |
For the single- and multi-choice types you enter each option into a list. Guests can only pick from the options you listed — no free text.
For each question you can:
- Mark it Required so a guest must answer before submitting.
- Mark it Optional so a guest can skip it.
- Duplicate a question (the copy button) when you want a similar one.
- Reorder questions (the up/down buttons).
Configure a form per ticket tier
Section titled “Configure a form per ticket tier”Each ticket tier in the event can have its own registration form. For example, a VIP ticket might ask for t-shirt size while a standard ticket does not. The Per-tier registration forms section shows one row per tier.
The default row always sits at the top of the table and carries a Default badge. This is the form used by the event’s base registration link (not tied to a specific tier) and the fallback for any tier you have not customised.
The other tiers are folded into an expandable section just below. The number of tiers you have customised appears next to the section heading so you can check at a glance.
Configure a tier’s form
Section titled “Configure a tier’s form”- In the Per-tier registration forms section, expand the tier list (if it is collapsed).
- Find the tier you want to configure and click Create (or Edit if a form already exists).
- In the dialog that opens, use the switch to turn this form on or off.
- Tick Show phone number to collect a phone number; also tick Required if the guest must enter it.
- In the custom-questions list, tick the questions you want to appear on this tier’s form.
- Click Save.
Set the default tier
Section titled “Set the default tier”The default tier powers the event’s base registration link and acts as the fallback form for any tier without its own form. To change the default tier:
- Expand the tier list.
- Find the tier you want as the default.
- Click Set as default at the end of that row.
The Default badge moves to the new tier immediately.
Organization registration form
Section titled “Organization registration form”Below the per-tier forms card there is a separate Organization registration form card. Turn it on when one person should sign up a whole team or company in a single submit, instead of each guest registering themselves. The form then has two sections: an Organization section answered once, and an Employees section with a repeatable row per person.
The organization form is independent of the per-tier individual forms. Both can be enabled at the same time for one event, each with its own public link and its own questions. This card only appears when overall event registration is turned on; when registration is off, only a short “Registration is disabled” hint is shown.
Enable the organization form
Section titled “Enable the organization form”Turn on the Enable organization form switch. The Organization section starts empty — no questions are added for you. Add the fields you want (for example Organization name and Contact email) from the custom-questions picker, described below under Organization questions (Section 1). If there are no organization questions, the portal hides the Organization section entirely.
Turning the switch off keeps the form’s questions stored, so you can turn it back on later and pick up where you left off.
Organization registration URL (vanity link)
Section titled “Organization registration URL (vanity link)”By default the organization form uses a link based on the event id. You can give it a shorter, friendlier link instead:
- In the Organization registration URL field (shown with a
/r/prefix), type a slug. - Click Check to confirm the slug is free. A green check means it is available, a red cross means another active event already uses it. A slug is available if no active event owns it, or if your event is the owner.
- Click Save configuration. The share-link preview updates to reflect the saved slug.
The Organization form link preview has Copy and Open buttons so you can grab the link or open it in a new tab. The preview shows the saved slug, not the one you are still typing.
Organization questions (Section 1)
Section titled “Organization questions (Section 1)”These are the questions the organization answers once. The section starts empty — add the ones you want (for example Organization name and Contact email) by clicking Add from custom questions. A picker opens listing every question from the event’s custom-questions pool. Tick the ones you want and click Add selected (N). If you add none, the portal hides the Organization section entirely.
Each chosen question is copied in full into the organization questions list (label, type, required setting, options, and validation rules), with a fresh identity, so you can edit it here without affecting the original. Questions whose label already exists in the list are greyed out and marked Already added, so you cannot add a duplicate.
The four question types are the same as elsewhere: Short Text, Number, Single Select, and Multi Select. A counter under the Add button shows how many questions you have out of the maximum of 20. Remove a question with the trash button on its row. There is no drag-to-reorder; questions are added in the order you select them.
Per-employee questions (Section 2)
Section titled “Per-employee questions (Section 2)”Under Per-employee questions, tick the custom questions each employee should answer in their row. Unlike Section 1, these stay referenced to the custom-questions pool rather than copied. That means editing a question in the event’s Custom Questions step also changes what employees see on the organization form. Leave them all unticked to show no per-employee custom questions.
Save and toggle behavior
Section titled “Save and toggle behavior”Click Save configuration to persist the whole Registration tab at once: the organization form (enable/slug/questions), the per-tier forms, the registration window, and the sender details. The organization-form toggle itself saves immediately when you flip it. Because saving replaces the full registration configuration, the page forwards your current organization-form edits on every save so nothing is lost.
Registration links per tier
Section titled “Registration links per tier”Each tier row shows its own registration link:
- The default tier uses the event’s short link.
- Other tiers carry an extra parameter at the end of the link that identifies the tier.
You can Copy the link to paste into an email, post, or share with guests. Click Open to preview the registration form exactly as guests will see it.
Organization form links
Section titled “Organization form links”If you enabled the organization form, it has its own links separate from the per-tier links above: the vanity /r/your-slug you set in the Organization registration URL field, or the default /events/{eventId}/register/organization. The link you share decides which form a guest sees. The per-tier links open the individual form; the organization link always opens the organization form. See Organization registration form above for how to set the organization link and questions.
