Scan states reference

When door staff scan a guest’s QR code, the system validates the ticket, the check-in time window, door capacity, and ticket tier. The result is returned as a scan state, shown on the Scanner screen by a specific color so you can act quickly.

This page is the authoritative reference for every state. Other guide pages link back here when they need to explain a state in detail.

Color Meaning What you should do
🟢 Green Success Admit the guest; print badge if needed.
🟡 Yellow Soft warning Check details before deciding.
🔵 Blue Automatic status change Guest was checked out; next scan checks them back in.
🟠 Amber Temporary / configuration issue Wait, switch doors, or contact the organizer.
🔴 Red Entry denied Do not admit; direct the guest to support.
State Color Meaning Staff action
Success 🟢 Green Valid ticket, within window, door has space and tier matches. Guest checked in. Shows name, email, tier and a badge-print button if available.
Already checked in 🟡 Yellow Guest has an active check-in and no check-out. Show previous check-in time + door. Do not admit again unless policy allows.
Auto checked out (re-entry) 🔵 Blue Event allows check-out and the rescan happens within the configured check-out window; the rescan checked the guest out (re-entry enabled). If the rescan is outside the check-out window, the screen shows 🟡 Yellow “Already checked in”. Guest is now checked out; the next scan checks them back in. See Re-entry & check-out.
Invalid QR 🔴 Red QR not found in system. Verify the guest has the correct ticket; use manual lookup if they have an account.
Invalid ticket 🔴 Red Ticket expired or revoked. Do not admit; direct the guest to support/organizer.
Ticket tier not allowed at this door 🔴 Red Guest ticket tier not allowed at this door. Tier access is configured in the doors section. Direct the guest to an allowed door. Tier access is configured under Manage doors.
Door inactive 🔴 Red Door deactivated. Switch the scanner to an active door.
Door full 🔴 Red Door capacity reached. Direct guests to another door or wait for check-outs.
Check-in closed 🟠 Amber Current time is after the check-in end. Ask the organizer to extend the window.
Check-in not open yet 🟠 Amber Current time is before the check-in start. Ask guests to wait until opening time.
Event inactive 🟠 Amber Event deactivated. Contact the organizer.
Day not enabled (multi-day event) 🟠 Amber A daily schedule exists but today is not an enabled day. Check the schedule with the organizer.
Queued locally (offline) 🟢 Green with an amber Offline badge Scanner offline, check-in cached for later sync — the full guest card still shows. Reassure the guest; it will sync automatically when back online.
Network error 🔴 Red Transient network failure, cannot reach the system. Retry; if persistent, scans queue locally.

When you scan to check a guest out (exit), the system checks that the event has check-out enabled, that the current time is within the check-out window, and (for multi-day events) that today is an enabled day. The table below lists the four results.

Check-out state Color Meaning Staff action
Check-out success 🟢 Green Guest has an active check-in, the event allows check-out, and the window is open. Guest is checked out. Shows the check-out time; the next scan checks them back in (if re-entry is allowed).

Check-out window closed 🟠 Amber Check-out is enabled but the current time is before (or after) the check-out window. Wait for the window to open, or ask the organizer to extend it.
Day not enabled (multi-day event) 🟠 Amber A daily schedule exists but today is not an enabled day. Check the schedule with the organizer; check-out is not possible on a disabled day.
