Doors, capacity, and tier access
Once you have created the event and configured the time windows, the next step is to set up the individual check-in doors. Each door is a separate entry point with its own location, capacity, and ticket-tier rules. This is the step that decides which door a guest may enter through, and who is responsible for scanning there.
All of this happens on the CMS at app.qrs.com.vn and is done by organizers.
Create a check-in door
Section titled “Create a check-in door”An event can have many doors — for example a main entrance, a VIP entrance, and a press / registration door. To create a new door:
- Go to Events and open the event you are configuring.
- Select the Doors tab and choose Add door.
- Fill in the door details:
- Door name — for example “Main entrance”, “VIP entrance”, “South gate”.
- Location — a short description to help staff find it (for example “Lobby A, ground floor”).
- Capacity — the limit on how many guests can be inside at this door at the same time. When the limit is reached the scanner reports “door full” and staff direct guests to another door.
- Active — turn the door on or off. A door turned off reports “door inactive” if anyone tries to scan there.
- Save to create the door. You can edit it at any time.
Set capacity per door
Section titled “Set capacity per door”Capacity is the limit on how many guests can be inside the event at a given door at the same time. It is a count of guests currently inside, not a cumulative total of everyone who has ever entered.
- When a guest successfully checks in, the current count at that door goes up by 1.
- When a guest checks out (if the event has check-out enabled), the count goes down by 1.
- When a door reaches capacity, the next scan reports “door full” and staff should direct guests to wait or use another door that still has space.
Control ticket-tier access
Section titled “Control ticket-tier access”This is the most important part for controlling who may enter which door. Each door has an allowlist of ticket tiers permitted to enter. When staff scan a guest’s QR, the system checks whether the guest’s ticket tier is in that door’s allowlist.
How it works
Section titled “How it works”- If the guest’s ticket tier is allowed → check-in succeeds (green).
- If the guest’s ticket tier is not allowed → the scanner reports “ticket tier not allowed at this door” (red) and staff direct the guest to the correct door.
Typical example: a VIP-only door
Section titled “Typical example: a VIP-only door”Suppose the event has two tiers: Standard and VIP.
- VIP door — allows only the VIP tier. Standard guests are denied and directed to the general door.
- Main entrance — allows both Standard and VIP. Everyone can enter.
- Press / registration door — allows only a specific tier, for example guests who registered for a separate session.
How to set it up
Section titled “How to set it up”- Open the door you want to configure.
- Under Ticket tiers allowed, select the ticket tiers allowed to enter this door.
- Save. The rule takes effect immediately for subsequent scans.
Assign staff and scanner devices to a door
Section titled “Assign staff and scanner devices to a door”Each door needs at least one staff member responsible for scanning. Assigning staff (and scanner devices) to a door lets the system know:
- Which staff members are allowed to open this door in the scanner app.
- Who performed each check-in — recorded as the scanning staff and scanner device.
- The post-event report can be broken down by door and by staff member.
How to assign
Section titled “How to assign”- Open the door you want to assign staff to.
- Under Assigned staff, add the staff accounts that will scan at this door.
- (Optional) Assign a scanner device (tablet / dedicated scanner) to the door — useful for self-service kiosk mode. A door can have up to 50 scanners; a device can only be assigned to doors within its own event, and cross-event assignments are rejected with a clear validation error.
- Save. When staff sign in to the scanner app they will see this door in their selection list.
When should you use multiple doors?
Section titled “When should you use multiple doors?”A few situations where splitting into multiple doors helps:
- Events with a dedicated VIP area — keep a separate VIP door for tighter control and to avoid congestion.
- Venues with several entrances — one door per entrance reduces bottlenecks at the main gate.
- Large events with many guests arriving at once — splitting doors keeps queues shorter and scanning faster.
- Tiered-flow events — guests of different tiers enter through different doors so checks are faster.
Advanced operations
Section titled “Advanced operations”When an event has many doors, the following operations help you manage them faster.
Search and filter doors
Section titled “Search and filter doors”The doors tab has a search box (matches door name or code) and a filter by ticket tier option that shows only the doors whose allowlist intersects the chosen tiers. Active filters appear as removable chips next to the results. While a filter is active, drag-to-reorder is disabled — clear the chips to rearrange doors again.
Create many doors at once
Section titled “Create many doors at once”Instead of adding doors one by one, you can paste a list of door names to create them in bulk in a single step. This is convenient when you already have a list of doors on paper or in a spreadsheet.
- On the Doors tab, choose Bulk add (next to the regular Add door button).
- In the text box that appears, paste your list of door names — one name per line.
- Blank lines are skipped automatically. The number of doors to be created is shown live on the confirm button.
- Choose confirm. All the doors in the list are created at once; you can then open each one to set its capacity, location, and ticket-tier rules.
Duplicate an existing door
Section titled “Duplicate an existing door”Once you have configured a door (capacity, location, allowed ticket tiers), you can duplicate it to quickly create another door with the same setup — useful when several doors share the same configuration.
- On the door card you want to copy, open the menu (the three-dot icon in the top-right corner).
- Choose Duplicate.
- A confirmation dialog appears, stating that a new door will be created with the same setup as the original.
- Confirm to create the copy. The new door appears in the list — open it to rename it and adjust any differences (for example location or capacity).
Reorder doors
Section titled “Reorder doors”Doors appear in the order you create them. You can drag and drop to rearrange them — for example moving the main entrance to the top so staff find it quickly when selecting a door in the scanner app.
- Hover over a door card. A drag handle (two vertical dots) appears on the left edge of the card.
- Press and hold the handle, then drag the card to its new position.
- Release. The new order is saved automatically and immediately.
Delete a door
Section titled “Delete a door”If you created a door by mistake or no longer need it, you can delete it. To prevent accidental deletion, the system always asks for confirmation before deleting.
- On the door card to delete, open the menu (the three-dot icon).
- Choose Delete (shown in red).
- A confirmation dialog appears describing the action about to be taken.
- Choose the confirm button (red) to delete permanently, or cancel to keep the door.
Next step
Section titled “Next step”Once doors are created, capacities set, tiers configured, and staff assigned, the next step is to issue QR e-tickets to your guests.
