Scanner fleet health

On event day, every scanning door depends on a device running the scanner app. This page helps you see which devices are healthy, which ones are in trouble, and how to respond when a door is quietly missing guests.

  1. Sign in to the management system at app.qrs.com.vn.
  2. Open your event.
  3. Select the Scanners section.

You will see a list of every device registered for the event, with its current status.

Each device shows a colored status label:

State Color Meaning
Online Green The device is connected and has reported check-in data to the system recently.
Degraded Yellow The device is still open but the connection is weak, or data has not fully synced. Worth watching.
Offline Gray The device is no longer connected, has been turned off, or has been signed out. Guests scanned at this door are not being recorded.

A device that has been turned off (the toggle set to off) is also always shown as Offline.

Under each device is a relative last-seen line, for example “Just now”, “5 minutes ago”, “2 hours ago”. This is the last moment the device checked in with the system.

Each device shows how many check-ins it has scanned but not yet sent to the system. When the device has a good connection, this number stays low or at zero. When the device loses its network, guests are still scanned successfully on the device (it stores them temporarily), and the pending sync count climbs.

When the network returns, those pending check-ins are sent automatically. But in the meantime, the realtime dashboard will not show those guests as inside.

Spotting a door that is dropping check-ins

Section titled “Spotting a door that is dropping check-ins”

A door that is quietly missing guests usually shows one or more of these signs:

  1. The device is in the Degraded or Offline state.
  2. The last-seen time is old (tens of minutes or more) while the event is still running.
  3. The pending sync count keeps climbing and never drops.
  4. The total check-ins at that door are far lower than other doors at the same moment, even though the queue is busy.

When you see these signs, act immediately — do not wait until the end of the event to notice.

  1. Contact the staff member at the door and ask them to reopen the scanner app and sign in again with the device’s registration code.
  2. Ask them to check the network connection (Wi-Fi or mobile data) on the device.
  3. After they sign back in, the status returns to Online and any stored check-ins sync automatically.
  1. Ask the staff member to move the device to a spot with a stronger signal or to switch to a different network.
  2. Wait a few minutes for the device to send its backlog.
  3. Watch the list: the pending count should fall back to zero.

You need to swap staff or use a backup device

Section titled “You need to swap staff or use a backup device”

If a device is broken or a staff member must leave their post, you can move that person onto another registered device. See the detailed instructions on the Manage scanners and Manage scanning staff pages.

Above the list are three quick counters for the whole event:

  • Active: the number of devices currently turned on and connected.
  • Total check-ins: the total successful scans across all devices.
  • Pending sync: the total check-ins not yet sent to the system across all devices. If this number is yellow and rising, a device is in trouble.
  • A few pending check-ins that clear back to zero within seconds is normal — the device is simply sending in small batches.
  • A device flipping to Degraded for a moment and returning to Online is normal network jitter; no action is needed if the pending count is zero.
  • A device showing Offline before doors open is normal (staff have not signed in yet). Just make sure every device is Online before guests start arriving.
