Real-time check-in dashboard

The real-time dashboard in the CMS lets you monitor check-ins as they happen — no page reload needed. It is the primary tool for staying on top of event status while guests are coming through the door.

While an event is running, you need to know right away:

  • How many guests have successfully entered.
  • Which door guests are entering through.
  • How many tickets per tier have been used.
  • Whether any door is filling up or guests are getting stuck.

The dashboard aggregates check-in data in real time each time a successful scan syncs to the server.

Open the dashboard from the event detail page at app.qrs.com.vn, under Check-in reports. You will see three main information areas.

Shows the total number of guests who have successfully checked in to the event. This number updates automatically whenever a new scan syncs from a door scanner.

  • Total guests — the total number of guests invited to the event.
  • Checked in — total successful entries.
  • Not checked in — the number of guests who have not yet been scanned in.
  • E-tickets issued — the total number of e-tickets that have been issued.

A table listing the most recent check-ins, each row showing:

Column Meaning
Guest Name and email of the guest.
Tier The ticket tier the guest is using (e.g. VIP, standard).
Door The door the guest entered through.
Check-in time When the guest was scanned successfully.
Method QR scan, kiosk scan (self-service), or manual lookup.
Sync status Synced (on the server) or pending (queued offline).

This list helps you quickly confirm who just came in and through which door — useful for answering questions on the floor.

A count of check-ins grouped by ticket tier. Use it to compare reality against issued tickets, for example:

  • VIP tier: 45/50 entered.
  • Standard tier: 120/200 entered.

When a tier is close to its limit, you can proactively direct guests in the lobby.

When door staff complete a successful check-in on the Portal, the green success screen shows a print badge button if the event has printing enabled. You do not need to do anything in the CMS — the badge prints at the door. The real-time dashboard only reflects check-ins; it does not print badges itself.

A few common situations:

  • Counts lower than reality — a door scanner may be offline. Scans will auto-sync once the network returns; status will move from pending to synced.
  • Guest says they entered but their name is missing — filter the list by email or check the sync status of the most recent entry.
  • “Currently inside” looks negative or odd — happens when check-out is enabled and a check-out was recorded before its check-in due to sync delay. It self-corrects once all pending entries sync.

Export CSV after the event

Once the event is over, export the full check-in list to CSV for archival or reporting. See CSV export.
